Contribution Statement Heaven
by Rhonda Howell
Contributions statements are formal statements you can mail to each contributor. Using the various report options, you can customize and print these statements to help contributors keep up with their pledge commitments and giving history. From the Flex Statement which offers the most customization, to the Plain Paper or Summary Statement, ACS offers a variety of statement formats to provide this information. This is something you know.
Now let me tell you something you may not know. ACS Technologies provides a variety of methods for delivering contribution statements other than just printing and mailing. Have you been asked to send a statement through an e-mail or maybe even publish statements to a secure website? What about letting someone else print your statements?
In this article, we will answer all of those questions and you will discover a variety of ways to communicate giving and pledge information to your members. What better way to do that than provide the relevant tools you need to meet members where they are in the web world.
E-mail Your Statements
The E-mail Plain Paper Statement in the ACS Contributions and Organizations modules enables you to e-mail the Plain Paper Statement to your contributors using Constant Contact. Statements are sent using industry-standard SSL encryption, and the e-mail contains a hyperlink to their statement. The hyperlink each contributor receives is unique and generated specifically for that contributor. Further verification is required when the recipient clicks the hyperlink. This provides a secure way to send an e-mail statement.
Let us Print Your Statements
ACS Technologies Fulfillment Services uploads your statement files to a secure ACS website and handles your Flex Statements and Charitable Contributions Reports monthly, quarterly, semiannually and annually. Using the Flex Statement Extract and Charitable Contributions Extract, ACS will print your statements, stuff them into envelopes, sort them, and CASS-certify them. Not only does it save you money by combining orders for a lower postage rate, it eliminates the need for you to inventory statement materials and saves your staff time for other projects.
So why are there so many ways to send contribution statements? Giving is a vital part of the ministry and ACS Technologies wants to ensure that we provide the tools you need to communicate this information to your members. There is never a one-size-fits-all solution. You may find a combination of solutions will help make sending statements easier. You may, for example, send a quarterly e-mail statement then print the Charitable Contribution Statement for IRS tax entries at year end. If you like, you could also use the Fulfillment Service to mail an annual statement. Whether your members are traditional, technology savvy, or a mixture of the two, there is a solution, and ACS Technologies is here to help.
